Printing a single envelope on the Toshiba Copier

Printing multiple envelopes on the Toshiba Copier, using a mail merge data source

 

To print a single envelope on the Toshiba Copier

  1. Open Microsoft Word
  2. If your default printer is something other than the Toshiba Copier that you want to print to, do the following, otherwise, skip to step 3.
    • click the File tab
    • click Print
    • select the your Toshiba Copier from the list of printers
  3. Click on the Mailings tab
  4. Click Envelopes
  5. In the 'delivery address' field, enter in the delivery address.  If you wish to add a return address, place that information in the return address box. Note, if you are using envelopes that have the Goshen College return address pre-printed on them, you can press Enter 6 times in this box and then type in your name or your department's name. This will print your name or your department's name below the pre-printed Goshen College return address. 
  6. C.lick the Options button to make sure that Size 10 is selected.  If you are printing on an envelope other than a standard #10 envelope, select the correct size from the Envelope Size drop-down list.  
  7. Click the Print button
  8. On the copier, open the bypass tray
    • unlock the tray by flipping the blue lever away from the printer
    • place your envelope in it according to the directional graphic
    • lock the envelope in place by flipping the blue lever towards the printer
  9. Log onto the copier
  10. Press "Job Status" on the display screen
  11. On the display screen, the "bypass" tray should be highlighted
  12. Touch the Envelope option on the display screen
  13. Press the green Start button.  Your envelopes will print and will come out the middle exit tray rather than the tray on the left side of the copier

 

To print multiple envelopes on the Toshiba Copier from a mail merge

  1. Set up your source document or spreadsheet with the addresses. Make sure the first line (for Word) or first row (for Excel) of your source document contains field headers (eg. Name, Address, City, State, Zip). Save your data source file. 
  2. Open Microsoft Word
  3. Click on the Mailings tab
  4. Click Start Mail Merge, and select Envelopes
  5. If you need to change the envelope size because you are printing on an envelope other than a standard #10 envelope, click on the Options button and select the correct size from the Envelope Size drop-down list. Otherwise, proceed to the next step.
  6. Click OK
  7. Click Select Recipients, and choose Use Existing List
  8. Find your source document or spread sheet and select it, then click Open
  9. If you are using a spreadsheet for your source document, in the window that appears, make sure the correct worksheet is selected, and that the "first row of data contains column headers' is selected. Click OK.
  10. Click in the center of the envelope to place your cursor in the text box that is already there. 
  11. Click on the little arrow under the Insert Merge Field button, and select the first merge field (eg. "Name"). Press Enter and then repeat to enter the other merge field's appropriately, inserting any returns or spaces where needed to separate the fields. After all merge fields are inserted, go to the next step. 
  12. If you want your envelopes to print in alphabetical order, click the Edit Recipient List and then in the window that opens, click the Name column header to sort alphabetically by name, and then click OK when finished. 
  13. Click the Finish and Merge button, and choose Edit Individual Documents. Make sure All is selected, and then click OK. This will display each envelope on your screen. Now, you're ready to print!
  14. Click the File menu and choose Print
  15. If your default printer is something other than the Toshiba Copier, select the Toshiba Copier from the Printer drop-down list
  16. Make sure "Env-Com10" is showing in the list of options in the Print Dialogue window
  17. Click Printer Properties
    • change the Original Paper Size from 8 1/2 x 11 to "Env-Com10"
    • make sure the Paper Source is "Bypass Tray"
    • make sure the Paper Type is "Envelope"
    • click OK
  18. Click Print
  19. On the Toshiba copier, open the bypass tray
    • Unlock the tray by flipping the blue lever away from the printer
    • place your stack of envelopes in the tray according to the directional graphic
    • lock the envelopes in place by flipping the blue lever towards the printer
  20. Press "Job Status" on the display screen
  21. On the display screen, the "bypass" tray should be highlighted
  22. Touch the Envelope option on the display screen
  23. Press the green Start button
