Signing in

You may sign into the device using your GC username and password. The printer includes a keyboard which slides out from directly below the touch screen for ease of use.

You can also sign in by tapping your GC ID card. The first time you do this, it will prompt you to sign in with your user name and password, but after that, a simple tap of your ID will log you in.

Home menu

  • For more help, click the question mark in the top right corner of the screen.
  • You may log out at any time by clicking the moon icon in the top right corner.
  • You can return to the home screen at any time by clicking the home icon at the top left of the screen.

All printers should have the same options on the home menu.

  • Copy
  • Scan to GCFile
  • Email
  • Scan to USB
  • Save to network folder
  • Job status
  • Administration

The following is an explanation of functions in each of these menus.


When you open this menu, you should see a "number of copies" field at the top right. Use this to alter number of copies made. Below this are several options

  • Copy Settings- The printer allows you to change several options for your scanned or copied documents
    • Copy single and double sided pages into varying formats and orientations.
      • Scan single side to single side
      • Scan single side to double side
      • Scan double side to double side
      • Scan double side to single side
    • Manually select color or black and white
    • Change size of scanned image (blow up/shrink original)
    • Manually select a paper feed (useful for custom paper sizes)
    • Adjust image clarity/size
    • Set up alternate formats for printing booklets and pamphlets
    • Pages per sheet- Save paper by printing multiple pages of a document on a single sided page
    • Change original paper size

Scan to GCFile

The x585 printers allow you to scan directly into your M:Drive. Your "Scanned documents" folder is mapped already, but you can also add and save a new folder path.

NOTE: If you create a new path, make sure that all folder names are spelled exactly the same as they are in the M:Drive

To do this:

  • Click the green plus sign below the list on the right side.
  • Type in \\gcfile.goshen.edu\gcfile\(your username) and click Browse.
  • If done correctly, you should see a list of folders. Select the correct folder and click "Ok"

Once you have created a new path, it may be selected from the list on the right side of the screen.

You may also change the file type and file name from the drop down menu and the bottom right field, respectively.


You also have the option to email a scanned document directly from the printer to any email address. When you select the "Email" option, you will see a list of fields.

  • From
  • To
  • Subject
  • File name
  • Message
  • CC/BCC

All of these fields may be manually edited, or ignored (with the exception of the "To" field).

In addition, the printer gives an option to save email addresses for later use. To do this:

  • Click on the "To", "CC", or "BCC" field
  • Below the list on the right, click the green plus sign
  • Type in the recipient's email
  • Click "Ok"

Scan to USB

There is a USB port on the back of the device, allowing you to scan images and documents directly to a flash drive or external hard drive. Plug in the device and select the "Scan to USB" option on the home screen. The device should appear automatically.

Save to Network Folder

This option provides an alternative to "Scan to GCFile". Procedures are identical for mapping other network folders, with the exception that you should replace \\gcfile.goshen.edu\gcfile\(your username) with the appropriate domain name and file path for the alternate folder.

Job Status

This option shows you currently active jobs on the device, as well as a job log of all saved print and scan jobs for the device.

The "Active" tab displays all currently queued jobs on the device, and gives you an option to pause all current jobs.

The "Job Log" tab will display the device history, with options to sort jobs by type. Using the "Print Log" option will print a hard copy of the job log.


The "Administration" tab will allow you to manage settings for the device. 

Under the "General Settings" tab, the only settings most users should need to change are under "Date/Time" and "Energy".

"Date/Time" gives you the option to change the display format for the time and date, as well as change the system clock in the event that it displays the correct time

NOTE: The printers should automatically synchronize with the print server, meaning the times should be correct by default. Avoid changing this setting unless necessary

"Energy" gives options to control wait times to change how long the printer will remain on and logged in before automatically logging out the active user and going into sleep mode. To do this, select "Sleep Timer Settings" under "Energy Settings" and change the value in the field.

"Energy" also gives the option to put the printer into "Quiet Mode", where the printer will print jobs less quickly, but more quietly.

Finally, the "Display Settings" tab gives options for screen brightness, turning system sounds on or off, and language settings. All other options should be left unchanged.
